Look, we get it - privacy policies can be a slog to read through. But here's the thing: we're lawyers who've spent years dealing with data breaches and compliance issues for our clients, so we actually care about getting this stuff right.
At Ravenyx Forge Legal Services, we're not just ticking boxes. When you reach out to us about your business needs - whether that's a merger deal, an employment dispute, or IP protection - you're sharing sensitive stuff. We take that seriously.
This policy lays out exactly what info we collect, why we need it, and how we keep it locked down. No legal jargon marathons here - just straight talk about your privacy.
When you contact us or become a client, we'll collect:
We're not gonna ask for stuff we don't need. If we're requesting it, there's a legitimate legal reason behind it.
This is where things get more detailed. Depending on what you need help with, we'll collect:
All of this falls under solicitor-client privilege, which means it's protected by some of the strongest confidentiality rules out there.
When you visit our website, we automatically collect some technical stuff:
This helps us improve the site and figure out what content actually matters to folks. We're not tracking your every move - just getting a sense of what works and what doesn't.
Obviously, we use your info to actually provide the legal services you're paying for. That includes researching your matter, drafting documents, representing you in negotiations or litigation, and giving you advice.
We'll use your contact info to stay in touch about your case, send you updates, answer questions, and occasionally share relevant legal developments that might affect your business.
As lawyers, we've got regulatory obligations. We use your info to run conflict checks, comply with anti-money laundering rules, and meet our duties to the Law Society of Ontario.
We need your payment info to bill you for our services and maintain proper financial records. Nothing fancy - just basic accounting stuff that every business has to do.
We analyze how clients interact with us to make our services better. This means looking at what types of matters we handle, how long things take, and where we can streamline our processes.
Sometimes we're legally required to use or disclose info - like responding to court orders, complying with tax laws, or reporting suspicious transactions. We don't have a choice in these situations.
We've seen enough data breaches in our work to know exactly what not to do. Here's how we keep your info secure:
All data transmitted to and from our systems is encrypted using industry-standard TLS protocols. Stored data gets encrypted too. If someone intercepts it, they're getting gibberish.
Only lawyers and staff working on your matter can access your file. We use multi-factor authentication, strong password policies, and role-based access controls. No one's browsing files they don't need to see.
We use Canadian-based cloud providers that comply with privacy laws and maintain SOC 2 certifications. Our systems get regular security updates and patches. We back everything up daily in case something goes wrong.
Everyone at the firm goes through regular privacy and security training. We know the threats, and we know how to spot phishing attempts, social engineering, and other common attacks.
Our office has controlled access, and physical files are kept in locked cabinets. When we're done with paper documents, they get shredded - not just tossed in the recycling.
Under Canadian privacy law (specifically PIPEDA), you've got some solid rights when it comes to your personal info:
You can request a copy of the personal information we hold about you. We'll provide it within 30 days, though there might be some limits if releasing certain info would breach solicitor-client privilege for another client.
If something in your file is wrong, let us know and we'll fix it. We'll also notify anyone we shared the incorrect info with (if appropriate).
You can ask us to delete your info, but here's the catch: as lawyers, we're required to keep files for at least 10 years after a matter closes. So we can't always honor this request immediately, but we will once we're legally able to.
You can request your data in a commonly used electronic format so you can transfer it elsewhere. Useful if you're switching to another law firm.
You can pull back consent for us to use your info, though this might affect our ability to represent you. We'll explain the implications before you make that call.
If you think we've mishandled your personal info, you can file a complaint with the Privacy Commissioner of Canada. We'd prefer you talk to us first so we can fix any issues, but you've got that option.
Send us an email at contact@ravenyxforge.info or call us at (416) 555-0247. We'll need to verify your identity before processing most requests, but we'll walk you through that.
We don't charge for these requests unless they're excessive or clearly unfounded (which almost never happens).
This is where being lawyers makes things a bit different from other businesses:
We're required by the Law Society of Ontario to keep complete client files for at least 10 years after a matter closes. That's not us being pack rats - it's a professional obligation. After that period, we review files and securely destroy them unless there's a good reason to keep them longer (like ongoing litigation).
Tax law requires us to keep accounting records for 7 years. Invoices, payment records, trust account info - all that stuff hangs around for the statutory period.
If you're on our mailing list but not a client, we'll keep your contact info until you unsubscribe or until it's clear you're not interested anymore (like if you haven't opened an email in 2 years).
Analytics and usage data typically gets anonymized and aggregated pretty quickly. We might keep anonymized data indefinitely for statistical purposes, but it won't be tied back to you personally.
Our services are aimed at businesses and business owners, not kids. We don't knowingly collect information from anyone under 18. If you're a parent and think your child has somehow provided us with personal info, let us know and we'll delete it ASAP.
That said, we do sometimes handle matters involving minors - like employment disputes or shareholder agreements where a minor has an interest. In those cases, we work through parents, guardians, or legal representatives as appropriate.
Privacy laws evolve, our practices improve, and technology changes. So yeah, we'll probably update this policy from time to time.
When we make changes, we'll update the "Last Updated" date at the top of this page. For major changes that affect how we handle your data in a significant way, we'll send you a direct notification - either by email or through our client portal.
It's worth checking back here occasionally, especially if it's been a while since you last read through it. We try to keep the language plain and honest, so it shouldn't be a painful read.
If you've got questions about this privacy policy, want to exercise your rights, or just want to chat about how we handle your information, we're here for that.
