Privacy Policy

We're committed to protecting your information and being transparent about how we handle it

Last Updated: November 18, 2025

Introduction

Look, we get it - privacy policies can be a slog to read through. But here's the thing: we're lawyers who've spent years dealing with data breaches and compliance issues for our clients, so we actually care about getting this stuff right.

At Ravenyx Forge Legal Services, we're not just ticking boxes. When you reach out to us about your business needs - whether that's a merger deal, an employment dispute, or IP protection - you're sharing sensitive stuff. We take that seriously.

This policy lays out exactly what info we collect, why we need it, and how we keep it locked down. No legal jargon marathons here - just straight talk about your privacy.

What Information We Collect

When you contact us or become a client, we'll collect:

  • Your name, email address, and phone number
  • Business name and position
  • Mailing address (both business and personal if needed)
  • Billing information and payment details
  • Government-issued ID numbers when required for conflict checks or regulatory compliance

We're not gonna ask for stuff we don't need. If we're requesting it, there's a legitimate legal reason behind it.

This is where things get more detailed. Depending on what you need help with, we'll collect:

  • Details about your business structure and operations
  • Financial documents related to transactions or disputes
  • Contracts, agreements, and correspondence relevant to your matter
  • Employee information if we're handling HR or employment issues
  • Intellectual property documentation and trade secrets
  • Communications between you and other parties

All of this falls under solicitor-client privilege, which means it's protected by some of the strongest confidentiality rules out there.

When you visit our website, we automatically collect some technical stuff:

  • IP address and general location data
  • Browser type and device information
  • Pages you visit and how long you stay
  • Referring websites and search terms
  • Time and date of your visits

This helps us improve the site and figure out what content actually matters to folks. We're not tracking your every move - just getting a sense of what works and what doesn't.

How We Use Your Information

Legal Services Delivery

Obviously, we use your info to actually provide the legal services you're paying for. That includes researching your matter, drafting documents, representing you in negotiations or litigation, and giving you advice.

Communication

We'll use your contact info to stay in touch about your case, send you updates, answer questions, and occasionally share relevant legal developments that might affect your business.

Compliance & Ethics

As lawyers, we've got regulatory obligations. We use your info to run conflict checks, comply with anti-money laundering rules, and meet our duties to the Law Society of Ontario.

Billing & Accounting

We need your payment info to bill you for our services and maintain proper financial records. Nothing fancy - just basic accounting stuff that every business has to do.

Service Improvement

We analyze how clients interact with us to make our services better. This means looking at what types of matters we handle, how long things take, and where we can streamline our processes.

Legal Obligations

Sometimes we're legally required to use or disclose info - like responding to court orders, complying with tax laws, or reporting suspicious transactions. We don't have a choice in these situations.

Who We Share Your Information With

Here's the deal: we don't sell your data, and we're not in the business of sharing it around. But there are some situations where we need to share info:

With Your Consent

When you tell us to share info with someone - like the other side in a negotiation, an expert witness, or a co-counsel - we'll do that. Pretty straightforward.

Service Providers

We work with trusted third parties who help us run our practice - think cloud storage providers, billing software, document management systems, and IT support. They're all bound by strict confidentiality agreements and only get access to what they absolutely need.

Professional Advisors

Sometimes we need to bring in outside experts - accountants, investigators, expert witnesses, or other specialists. We only share what's necessary for them to do their job on your matter.

Legal & Regulatory Bodies

If we're served with a subpoena, court order, or regulatory demand, we've gotta comply. We'll always try to notify you first unless we're legally prohibited from doing so.

Business Transfers

If we ever merge with another firm or sell our practice (not planning on it, but you never know), your file would transfer to the successor firm. They'd be bound by the same confidentiality obligations we are.

How We Protect Your Information

We've seen enough data breaches in our work to know exactly what not to do. Here's how we keep your info secure:

Encryption Everywhere

All data transmitted to and from our systems is encrypted using industry-standard TLS protocols. Stored data gets encrypted too. If someone intercepts it, they're getting gibberish.

Access Controls

Only lawyers and staff working on your matter can access your file. We use multi-factor authentication, strong password policies, and role-based access controls. No one's browsing files they don't need to see.

Secure Infrastructure

We use Canadian-based cloud providers that comply with privacy laws and maintain SOC 2 certifications. Our systems get regular security updates and patches. We back everything up daily in case something goes wrong.

Staff Training

Everyone at the firm goes through regular privacy and security training. We know the threats, and we know how to spot phishing attempts, social engineering, and other common attacks.

Physical Security

Our office has controlled access, and physical files are kept in locked cabinets. When we're done with paper documents, they get shredded - not just tossed in the recycling.

Real talk: No system is 100% secure, and we won't pretend otherwise. But we're constantly monitoring, updating, and improving our security measures. If there's ever a breach affecting your data, we'll let you know immediately.

Cookies & Tracking Technologies

Yeah, we use cookies. Not the chocolate chip kind, unfortunately. Here's what's going on:

Cookie Type Purpose Can You Opt Out?
Essential Cookies These keep the website working - things like remembering you're logged into our client portal or maintaining your session. No - required for functionality
Analytics Cookies Help us understand how people use our site so we can make it better. We use these to see which pages get visited most, where folks are dropping off, etc. Yes - through browser settings
Preference Cookies Remember your choices like language preferences or font size adjustments. Yes - but you'll lose preferences

You can control cookies through your browser settings. Just know that blocking essential cookies will probably break some site features. Most browsers also have a "Do Not Track" option - we respect that if you've got it enabled.

Your Privacy Rights

Under Canadian privacy law (specifically PIPEDA), you've got some solid rights when it comes to your personal info:

Right to Access

You can request a copy of the personal information we hold about you. We'll provide it within 30 days, though there might be some limits if releasing certain info would breach solicitor-client privilege for another client.

Right to Correction

If something in your file is wrong, let us know and we'll fix it. We'll also notify anyone we shared the incorrect info with (if appropriate).

Right to Deletion

You can ask us to delete your info, but here's the catch: as lawyers, we're required to keep files for at least 10 years after a matter closes. So we can't always honor this request immediately, but we will once we're legally able to.

Right to Portability

You can request your data in a commonly used electronic format so you can transfer it elsewhere. Useful if you're switching to another law firm.

Right to Withdraw Consent

You can pull back consent for us to use your info, though this might affect our ability to represent you. We'll explain the implications before you make that call.

Right to Complain

If you think we've mishandled your personal info, you can file a complaint with the Privacy Commissioner of Canada. We'd prefer you talk to us first so we can fix any issues, but you've got that option.

How to Exercise Your Rights

Send us an email at contact@ravenyxforge.info or call us at (416) 555-0247. We'll need to verify your identity before processing most requests, but we'll walk you through that.

We don't charge for these requests unless they're excessive or clearly unfounded (which almost never happens).

How Long We Keep Your Data

This is where being lawyers makes things a bit different from other businesses:

Client Files

We're required by the Law Society of Ontario to keep complete client files for at least 10 years after a matter closes. That's not us being pack rats - it's a professional obligation. After that period, we review files and securely destroy them unless there's a good reason to keep them longer (like ongoing litigation).

Financial Records

Tax law requires us to keep accounting records for 7 years. Invoices, payment records, trust account info - all that stuff hangs around for the statutory period.

Marketing Communications

If you're on our mailing list but not a client, we'll keep your contact info until you unsubscribe or until it's clear you're not interested anymore (like if you haven't opened an email in 2 years).

Website Data

Analytics and usage data typically gets anonymized and aggregated pretty quickly. We might keep anonymized data indefinitely for statistical purposes, but it won't be tied back to you personally.

Children's Privacy

Our services are aimed at businesses and business owners, not kids. We don't knowingly collect information from anyone under 18. If you're a parent and think your child has somehow provided us with personal info, let us know and we'll delete it ASAP.

That said, we do sometimes handle matters involving minors - like employment disputes or shareholder agreements where a minor has an interest. In those cases, we work through parents, guardians, or legal representatives as appropriate.

Changes to This Policy

Privacy laws evolve, our practices improve, and technology changes. So yeah, we'll probably update this policy from time to time.

When we make changes, we'll update the "Last Updated" date at the top of this page. For major changes that affect how we handle your data in a significant way, we'll send you a direct notification - either by email or through our client portal.

It's worth checking back here occasionally, especially if it's been a while since you last read through it. We try to keep the language plain and honest, so it shouldn't be a painful read.
